Stock entry mistakes can be corrected using three different methods, each with specific advantages depending on your situation and audit requirements.

Three Methods for Corrections

When you need to fix incorrect stock entries, you have three options:

  • Stock Adjustment (Recommended): Create a new corrective transaction
  • Edit Transaction: Modify the original transaction details
  • Delete Transaction: Remove the incorrect transaction entirely
Method 1: Stock Adjustment (Recommended)

This method maintains a complete audit trail by keeping the original transaction and adding a corrective one.

Example: You entered 10 units but the correct quantity is 8. Create an OUT transaction for 2 units with a note like "Adjustment - correcting overage from previous entry."
Create a Stock Adjustment:
  1. Open the Stock Updater
  2. Select the appropriate transaction type (IN or OUT) to correct the error
  3. Enter the difference quantity that needs to be corrected
  4. Select the same product and warehouse from the original transaction
  5. Add a clear note explaining the adjustment reason
  6. Complete the transaction

Stock adjustments are recommended because they preserve complete transaction history and provide clear audit trails for accounting and compliance purposes.

Method 2: Edit Transaction

Modify the original transaction when you need to correct details while maintaining the same transaction record.

Edit an Existing Transaction:
  1. Open the Stock Updater module
  2. Tap the clock icon (top right)
  3. Select Stock History from the bottom panel
  4. Locate the incorrect transaction
  5. Swipe left on the transaction row
  6. Tap the Edit icon
  7. Update quantity, warehouse, or notes as needed
  8. Save your changes

When editing a transaction, you can modify:

  • Quantity amounts
  • Warehouse/location assignments
  • Transaction notes
Method 3: Delete Transaction

Remove incorrect transactions completely when they should never have been entered.

Delete a Transaction:
  1. Open the Stock Updater module
  2. Tap the clock icon (top right)
  3. Select Stock History from the bottom panel
  4. Locate the transaction to delete
  5. Swipe left on the transaction row
  6. Tap the Delete icon
  7. Confirm the deletion

Administrators and main account owners can view deletion logs to track all transaction removals, ensuring accountability and audit compliance.

When to Use Each Method:
  • Stock Adjustment: For quantity errors where audit trail is important
  • Edit Transaction: For correcting warehouse assignments or adding missing notes
