If you manage multiple warehouses, you can route low-stock alerts to specific users for specific locations. Each warehouse manager only gets notified about their own warehouse instead of the full company picture.
This is in addition to the global daily low-stock email you already receive as the owner. Per-warehouse alerts work alongside it, not as a replacement.
You create rules that pair a warehouse with a user. When stock at that warehouse drops to or below a product's critical level, the assigned user gets an alert by email, push notification, or both.
Example: Your company has three warehouses (Main, North, South). You assign a different manager to each. The Main warehouse manager only receives alerts for items low at Main. The North manager only sees North. The South manager only sees South. You as the owner still get the global daily summary covering all warehouses.
Make sure you have these in place:
- At least one warehouse created in your locations list
- The users you want to assign as recipients are added to your account (or you can assign yourself)
- Each product has a critical stock level set in its profile
Per-warehouse alerts are a Platinum plan feature. Free and Gold accounts can view existing rules but cannot add new ones.
- Go to Settings
- Open the Notifications tab
- Scroll down to the Per-warehouse alerts section
- Tap Add another rule
- A new rule card appears with these options:
- Enabled: turn this rule on or off without deleting it
- Warehouse: select which location this rule covers
- User: select who gets notified (yourself or any user on your account)
- Email: send a daily summary email when items are low
- Push: send a push notification on the user's device
You can add as many rules as you need. The same warehouse can have multiple users assigned, and the same user can be assigned to multiple warehouses.
Tap the save button at the bottom of the page. Your rules are now active and will be processed by the next daily check.
The system checks for low stock once a day. For each rule, it looks at products that had recent activity (sales, transfers, restocks) and checks if any are now at or below the critical level at that specific warehouse.
If at least one product is low, the assigned user receives:
- Email: a focused report showing only the items low at that warehouse, with the warehouse name in the subject line
- Push: a short notification like "Main Warehouse — 3 low stock products"
If a warehouse is fine on a given day, no alert goes out for that rule. You won't get spam emails about warehouses that are well-stocked.
Back in Settings → Notifications → Per-warehouse alerts:
- To turn off a rule temporarily, uncheck the Enabled box and save. The rule stays in the list but won't fire.
- To change the warehouse, user, or channels, just adjust the dropdowns and save.
- To delete a rule, tap the red × in the top-right of the rule card and save.
- Push notifications require the recipient to have push enabled in their own settings and to have granted notification permission on their device.
- Per-warehouse alerts use the same critical stock level as the global alerts (set on each product). There is no separate per-warehouse threshold today.
- If you (the owner) assign yourself to a warehouse with email enabled, and your global daily email is also on, the per-warehouse email is automatically skipped to avoid duplicates. You'll still get the per-warehouse push if push is enabled.
- Inactive products are not included in alerts.
This feature is most useful if you have warehouse managers who only need to focus on their own location. They get alerts that match their scope of responsibility without being distracted by activity at other warehouses.
